COVID-19 Rescheduling Policy
We’re starting to find our footing in the midst of this “new normal” (are you tired of that phrase yet?), but even though life is starting to resume, it’s difficult to predict what live events will look like in the coming months.
If you’ve scheduled an event with us for the remainder of 2020 or are considering booking with RTR in the coming months, you may be struggling to know how (or whether) to proceed.
We’re here to help, and we want you to know that we’re committed to the success of your event, so we’ve created this guide to help you make an informed decision and understand your options going forward.
First things first.
We’re here for you — Our commitment to our customers hasn’t changed. We’re here to create the best possible events and make sure they go off without a hitch. We’re working overtime to come up with creative solutions, and we’re ready to re-imagine what your event can look like.
We know this isn’t ideal — No one has been unaffected by COVID-19. It’s disappointing to have life derailed by something completely outside your control, and we know that people are worried, stressed out, and frustrated. This situation has had a tremendous effect on our staff and our families as well, so we understand where you’re coming from. We want to help alleviate that stress and make your event one thing you don’t have to worry about.
Let’s talk it out — Communication is key here. The majority of concerns can be resolved with a conversation, so if you’re concerned about your event, let’s talk! We’re happy to work with you, and we appreciate your patience as we find solutions that work for both of us.
Now the details.
We understand that you may feel it’s best to reschedule your event. If that’s the case, we’ll do what we can to make it happen.
Here’s our policy for rescheduling:
› We will do our best to find a date that works for your event. Not every date will be available, so please consider switching to a lower priority date, such as a Friday or a Sunday.
› If your event is within 90 days and you wish to reschedule, we will work with you to find a mutually agreeable alternative date.
› If your event is more than 90 days out at the time of confirming a reschedule, please be aware that Saturday dates between April and December of 2021 will be subject to an 8% rescheduling fee.
› 2020 events that are rescheduled to 2021 (or beyond) are subject to yearly price increases. However, if you choose a lower priority date (i.e. some Fridays and Sundays), we may be able to adjust the annual rate increase.
› RTR carefully budgets based on projected income. This income is vital to keeping our daily operations on track; therefore, previously agreed-upon payment dates will not be adjusted.
We are not enforcing these rules to build our bank accounts. It’s quite the opposite: when we reschedule events, we’re essentially preventing ourselves from booking new business on those dates.
We understand that these are not normal circumstances though, so we’re doing all we can to give our clients the service they need while still making sure our team and their families are taken care of.
